Paperless labor: methods of reissuance and deadlines

Paperwork books will gradually disappear from circulation. With the transition to an electronic format, which must be completed by June 10, 2026, significant changes are underway in Ukraine.

Particular attention should be paid to data on work experience before 2004, as these records need to be entered into the new system, as noted by representatives of the Pension Fund of Ukraine.

Digitizing workbooks has several significant advantages. First, electronic documents are stored securely; they cannot be lost or damaged. Second, the process of assigning pensions will occur automatically, without the need to contact the institutions. This will allow pensioners to receive payments in accordance with their length of service without unnecessary effort. With digital documents, Ukrainians will also be able to access online services faster. In the future, it may not be necessary to visit the Pension Fund to apply for a pension personally.

Changes in legislation related to transferring work documentation to an electronic format were adopted in 2021. Currently, the requirements of the law are being gradually implemented, and every day there is less and less time left to complete the transition.

To check whether your workbook has already been digitized, you need to go to the electronic services portal of the Pension Fund of Ukraine. Employers can verify this in the insured person’s account, in the “Information on labor relations” section, and employees can check it in their account, in the “My applications” tab. If the status is “Completed”, this means that the scanned copies have already been processed. The status “Cancelled execution” indicates errors, and the documents must be submitted again. Other statuses indicate that the application is still being considered.

Without the correct registration of the workbook, you may encounter issues with pension payments. It is worth addressing this issue now, as every third Ukrainian risks being left without a pension and without work experience.
